HOA Board Terms and Procedures

The HOA Board is composed of up to nine (9) homeowners who volunteer their time to manage HOA business. Board positions have a three (3) year term; however, Board members may serve consecutive terms. Any homeowner interested in filling an open spot and serving on the Board is voted-in during the HOA Annual Meeting. Current Board members interested in serving consecutive terms can submit their names to the ballot at the end of their term and be re-elected to the Board. After each HOA Annual Meeting, Board members meet to appoint officer positions for that year. 

The following provides more details on the Board terms and election procedure.  

Voting 

Homeowners must be present at the HOA Annual Meeting to vote for Board members or submit in writing, to the Board, the name of their proxy. Each home gets one vote. Renters are not considered a proxy for the homeowner. Homeowners who wish to designate someone as their proxy must submit such notification in writing to the Board prior to the annual meeting. 

Submitting Your Name for the Ballot  

To have a name added to the ballot for consideration for a Board position at the next HOA Annual Meeting, a homeowner emails the current Board (via wolftrapmeadowshoa@gmail.com) with the nominee’s name and address. To help with planning, the Board appreciates receiving these nominations at least one week prior to the meeting date.  Board members may serve consecutive terms on the Board. At the end of their 3-year term, a Board member wishing to continue on the Board would submit his/her name for the next ballot.  

Appointing Officer Positions  

After the HOA Annual Meeting, the nine (9) Board members meet and select the four (4) officer positions for a 1-year term: President, Vice President, Secretary, and Treasurer. The remaining five (5) Board members are Members-at-large. One Member-at-large will be designated as the ARB Chair (also for a 1-year term).  A Board member may serve consecutive terms in the same officer position or different officer positions each year of their 3-year term. 

Temporary-Terms on the Board 

If a Board member cannot complete their 3-year term (for example they moved or resigned), the Board can fill the vacated position without holding a vote. The person selected to fill the vacated position serves for the duration of the remaining term of their predecessor. The Board member may submit their name for the vote at the next HOA Annual Meeting to be considered for a new 3-year term.
